Configuring Initiate Workflow Actions

The Initiate Workflow Action is used if the current workflow needs to call up another workflow to be invoked off of a record. For example, you may have created two separate workflows, one for Nonconformance Management, and one for CAPA Management. These are treated as separate records in the application. Let's say from the Nonconformance that you wish for a CAPA to automatically be created. The Initiate Workflow Action will help to invoke the CAPA workflow right from the Nonconformance workflow. Configuring Initiate Workflow Actions can be configured for the following tools:

  1. From the Administrator Tools tab on the SmartSolve Portal Page, click Designer > Workflow Designer.
  2. Create a new workflow or open an existing workflow.
  3. On the design canvas, left click to highlight the tool object.

  1. Click the On Submission, On Route, or On Entry tab in the Properties panel.
    Result: The Validation Rules/Actions window is displayed.
  2. Click the Add Action drop down button and select the Initiate Workflow action option.
    Result: The Action window is displayed.

  1. Enter the information in the following fields:
  2. Field Definition

    Name

    Enter the name of the action.

    Rule

    Associate a rule with the action, an example of which would be, if the action needs to be executed conditionally based on the result of the rule.

    Workflow

    Select the Workflow to be applied to the action.

    Successful Message

    Enter the message to display to the end user upon successful completion of the action.

  3. Click the OK button to save the action.
